The evidence behind the opportunity

Give every enquiry a clear owner and next step.

A manageable enquiry process reduces repeated handling and helps your team see what needs attention. Start with a clear workflow, then connect the tools that genuinely support it.

13%

of an average sales rep’s workweek was spent manually entering data in Salesforce’s 2026 study.

A broader operational benchmark showing why repeated data handling deserves attention.

42%

of sales reps surveyed felt overwhelmed by having too many tools.

A useful reason to simplify your enquiry process before adding another system.

Connect forms, notifications, enquiry stages and follow-up tasks around your team’s responsibilities. Measure response time and progress with agreed definitions.

Salesforce State of Sales, seventh edition, 2026: 4,050 sales professionals in 22 countries, surveyed August–September 2025. Figures relate to sales representatives in a broader business study, not care-home staff, time saved by this service or guaranteed results. Independent research provides context; these are not WaveBNB client results.

What it can mean for your home

Make the handover as clear as the first hello.

An enquiry can move between a website form, an inbox and several colleagues. Agreed stages, ownership and follow-up tasks give your team a clearer shared view of the work in progress.

01

Give each enquiry an owner

Agree routing, responsibilities and next actions so your team knows who is handling each request.

02

See the follow-up that needs attention

Bring open tasks and enquiry stages into view, rather than relying on scattered messages and individual memory.

03

Connect the process around your team

Link compatible forms, alerts and supported booking tools, with a practical handover and clear responsibilities.

Room to keep improving.

Choose a defined project or the ongoing support your home needs. Deliverables, responsibilities and costs are confirmed before work begins.

One-off implementation

A defined enquiry workflow connected to the tools you agree to use.

  • A map of enquiry stages, owners and routing rules
  • Website form connections and internal notifications
  • Agreed follow-up tasks and tour-scheduling connections where supported
  • A basic activity dashboard, testing and team handover
Optional monthly support

Keep the connections working well

Practical support as your enquiry process develops.

  • Checks of agreed forms and workflow connections
  • Small changes within a defined monthly allowance
  • Review of enquiry stages, follow-up gaps and available activity data
  • A scheduled review and clear action list for your team

Quoted to your agreed scope, at launch or later. Access, compatibility and responsibilities are agreed before implementation. No enquiry volume, response-time reduction or occupancy outcome is guaranteed.

From an intention to a useful routine

An enquiry process with a purpose

01
Capture what is needed

Use appropriate fields for a business enquiry, without unnecessary health details.

02
Give it an owner

Agree the person responsible, the stage and the next action.

03
Review what happened

Record follow-up and team-confirmed outcomes using consistent definitions.

Illustrative process. We agree the actual steps, permissions and responsibilities with your team.

A clearer view of the value

Know what happened.
See what needs attention.

Agree the purpose first, then review the signals that help your team make better decisions.

01

Enquiry ownership and coverage

Review whether enquiries have an assigned owner, an agreed stage and a recorded next action.

02

Follow-up timing

Use reliable timestamps to review your team’s response and task completion, distinguishing an automatic acknowledgement from a human reply.

03

Verified progress

Review visit requests, booked or attended tours and staff-confirmed outcomes when your team records them consistently.

Available measures depend on your tools, access, tracking and data quality. Clicks and enquiries are distinct from verified visits and admissions.

Before you choose

Good questions.
Clear answers.

The right scope starts with understanding your home and the way your team works.

Will this work with our existing systems?

We confirm tool compatibility before committing to an integration. Your scope specifies the forms, CRM, notifications and supported tour-scheduling connections included. CRM licences, booking subscriptions, complex migrations and custom software are quoted separately.

What information should the enquiry process collect?

We plan appropriate access, data fields, retention and responsibilities with your team. General website forms should not invite unnecessary health information. The workflow is designed around the agreed enquiry-handling purpose.

Does this replace a care-management system or make admission decisions?

No. This supports enquiry handling. It is not a clinical record, care-management system or automated care-admission decision service. Your team remains responsible for suitability, care assessments and admission decisions.

How is this different from email marketing and automation?

CRM work focuses on stages, ownership, routing, connected tools and follow-up tasks. Campaign creation is scoped separately, and email workflow work is quoted once to avoid overlapping charges. Any software, advertising spend or specialist supplier costs are confirmed before you commit.
